Data Deletion Request

1. Your right to deletion

You may request deletion of your Common Ground account and the personal data associated with it at any time. Depending on where you live, this right may also be guaranteed by law (for example, GDPR Article 17 or the CCPA).

2. How to request deletion

Send an email to notify@commongroundmediationpro.com from the email address on your account, with the subject line “Data deletion request”. Include:

  • Your account email address.
  • Whether you want your account closed in addition to data deletion.
  • Any specific cases or documents you want removed, if applicable.

We may ask you to confirm the request from the account email before we act on it, to protect against unauthorized deletion.

3. What we delete

Within 30 days of verifying your request we will:

  • Delete your profile and authentication record.
  • Delete cases, drafts, messages, and uploaded documents you own.
  • Delete AI prompts and outputs associated with your account.

4. What we may retain

We may retain a limited set of data where we have a legal or legitimate-interest basis to do so, including:

  • Signed agreements and their audit trail, because they document a transaction between the parties and may be needed by the other signer or by law.
  • Billing and tax records, for the period required by applicable financial regulations.
  • Backups, which roll off on our standard retention schedule (typically within 35 days).
  • Suppressed-email and abuse-prevention records, limited to what is needed to honor unsubscribe requests and prevent fraud.

5. Effect on other parties

If you are a signer or invited participant on a case owned by someone else, we will delete your personal contact details from that case where possible, but the case and any signed agreement will remain available to the case owner and other signers.

6. Timing

We aim to confirm receipt within 5 business days and complete verified deletion requests within 30 days. We will email you when the request is complete.
